What's involved in an ERPNext implementation
An implementation is mostly a matter of setting the system up to match how you already work
It covers choosing which applications you need, moving your existing data across intact, mapping your current processes onto the system, and getting your team confident with it before launch. We do this in four phases. You'll know where things stand at each one.
Our four-phase process
Discovery, scoping and demo, agreement, then go-live. Nothing touches your live data until you've tested it.

We start with a call about how your business runs today and what you want the system to do. By the end of it we'll know which applications you need, what data has to move, and which of our three service tiers suits you.

We write down exactly what your system needs to run properly. If you'd like, we'll also set up a demo system for a week with your own login, so you can test the workflows yourself. For migrations we take a sample of your data and run the migration on that demo first. Mapping problems show up there, while they're still cheap to fix.

We set up your live system, install the agreed applications, migrate your data to the plan we already tested, and hand over credentials with two-step login switched on. Then we go through the Statement of Work with you and check it off before we call the job done.

It depends on how much needs building. We'll give you a date at discovery, once we've seen the scale of it.
If you want a demo system, it'll be running within a week of the discovery call, with your own login. A hosting-only setup with no migration is the quickest. A migration with custom applications built around your workflow takes the longest. Either way, the timeline goes in your Statement of Work.

Where is my data hosted?
We host your system ourselves on servers we rent from Hetzner in the EU, in data centres inside the European Union. We manage the hosting directly rather than reselling another provider's platform, and your data stays within the EU.
For UK businesses that means your data sits in a location the UK government recognises as providing adequate protection, so the UK government treats the EU as a safe place to keep data, so there's no extra paperwork for you under UK GDPR. If you need data held physically within the UK, raise it at discovery and we'll tell you whether we can meet it.
What does it cost?
There are no per-user licence fees. For most businesses moving off per-seat software, that's the main draw your software bill stops growing every time you hire someone.
Beyond that you're paying for the work and the hosting the implementation, your managed system, and ongoing support. The amount of setup, migration and development varies a lot between businesses, so we quote after the discovery call. Published prices wouldn't tell you much.
