We are the "data controller" for any personal information you provide to us through this website.
What information we collect, use, and why
We collect and use the following personal information when you get in touch about our services:
Your name and the name of your business
Your email address and telephone number
What you tell us about your business, your current systems and what you need
Information about how this website is used, collected through cookies
We use it to reply to your enquiry, arrange and run a demo, prepare a quote or Statement of Work, deliver and support the services you buy, and keep the accounting records the law requires us to keep.
We do not sell, rent or trade your personal information, and we do not send marketing emails to people who have not asked for them.
We share personal information with the suppliers who help us run the business, such as our hosting provider, our email provider and the systems we use to manage enquiries. They act on our instructions and cannot use it for their own purposes. We also share information with our accountant and other professional advisers where we need advice, and where the law requires it.
Our lawful bases
UK data protection law requires us to have a lawful basis for collecting and using your personal information. Ours are:
Legitimate interests for replying to your enquiry, arranging a demo and preparing a quote. Our interest is running a business software consultancy by responding to people who approach us, and we think a reply to your own enquiry is what you would expect
Contract for delivering and supporting the services you buy from us
Legal obligation for keeping accounting and tax records
Consent for the optional cookies that measure how this website is used
Where we get personal information from
Directly from you, when you fill in a form on this website, email us, or speak to us on the telephone or in a meeting.

Your right of access. You can ask us for copies of your personal information
Your right to rectification. You can ask us to correct or complete information you think is wrong

Your right to restriction of processing. You can ask us to limit how we use it
Your right to object to processing. You can object to us using your personal information where we rely on legitimate interests
Your right to data portability. You can ask us to transfer the information you gave us to you or to another organisation
Your right to withdraw consent. Where we rely on your consent, you can withdraw it at any time
You do not have to pay, and we will respond without undue delay and within one month. To make a request, email hello@dig1tal.io. We may ask you to confirm who you are first.
We do not make decisions about you by automated means.
How long we keep information
Enquiries that do not lead to work: two years from our last contact.
Client records and correspondence: for the length of the contract, then a further year.
Invoices and accounting records: six years after the end of the financial year they relate to, as UK tax law requires
When a period ends we delete the information or remove anything that identifies you.
Information in systems we host for you
If we host or implement ERPNext or another Frappe application for your business, the personal information inside that system belongs to you. Your business decides what goes in it and why, so your business is the data controller and we act only on your instructions. We never use it for our own purposes.
Your instance is hosted inside the European Union, we tell you which sub-processors are involved before that changes, and we tell you promptly about anything affecting your data so you can meet your own obligations.
How to complain
If you have any concerns about our use of your personal information, please tell us at hello@dig1tal.io and we will try to put it right.
You can also complain to the Information Commissioner's Office. You do not have to raise it with us first.
